1. Overview

This Privacy Policy describes how Everyday Pickups LLC (“Maelo,” “we,” “us”) collects, uses, and shares information when you use our websites, web application, desktop application, mobile application, and related services (together, the “Service”). Maelo is a business product: an AI operating system that helps you run operations and build software. By using the Service you agree to the practices described here.

2. Information we collect

Account information. Name, email address, and authentication details when you create an account (sign-in is operated by our authentication provider, Clerk), plus workspace and team settings you configure.

Customer Content. Content you submit to or create with the Service at your direction: messages and prompts, documents, product requirements, tasks, code and repository contents you connect, and data from integrations you enable (for example email and calendar items, or issue-tracker data).

Meeting recordings and voice. When you choose to record a meeting or use voice features, we process the audio (and, if you enable it, video) you capture, along with transcripts. Where available, transcription runs on your own device. Meeting capture may be facilitated by our meeting-capture provider (Recall.ai). Recording is always user-initiated — the Service does not record without your action.

API keys you provide. If you bring your own model-provider API keys, we store them securely and use them only to make requests you direct to those providers.

Payment information. Payments are processed by Stripe. We receive limited billing information (such as plan, status, and last four card digits) and do not store full card numbers.

Usage and device information. Log data, device and app version information, push-notification tokens, crash reports, and diagnostics (collected via tools such as Sentry) used to operate, secure, and improve the Service. We use cookies and similar technologies for authentication and session management, not for third-party advertising.

3. How we use information

  • To provide, operate, and maintain the Service;
  • To process Customer Content with AI models at your direction, including models accessed with your own API keys;
  • To provide support and respond to your requests;
  • To process payments and manage subscriptions;
  • To secure the Service, prevent fraud and abuse, and debug and fix problems;
  • To comply with legal obligations; and
  • To improve the Service using aggregated or de-identified information that does not identify you.

We do not use your Customer Content to train our own or any third party’s AI models. Customer Content is sent to AI model providers only when you direct the Service to process it, and such processing is governed by the applicable provider’s terms — particularly where you bring your own API keys.

4. Meeting recordings — your responsibilities

Laws about recording conversations vary by jurisdiction, and some require the consent of all participants. You are solely responsible for complying with applicable recording and wiretap laws, including providing any required notices and obtaining any required consents from meeting participants before recording. Maelo processes recordings on your behalf and at your direction.

5. Google user data

If you connect Google services (such as Gmail or Google Calendar), we access only the data needed to provide the features you enable, and we do not use that data for advertising. Maelo’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

6. How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only with:

  • Service providers that help us run the Service under contractual confidentiality obligations — including cloud hosting (AWS, via Control Plane), authentication (Clerk), payments (Stripe), error monitoring (Sentry), meeting capture (Recall.ai), and push-notification delivery (Apple, Expo);
  • AI model providers you select, when you direct the Service to process content with them;
  • Your workspace — content and activity you share into a team workspace is visible to other members of that workspace;
  • Legal and safety recipients, if required by law or to protect the rights, safety, or property of Maelo, our users, or others; and
  • A successor entity in connection with a merger, acquisition, or sale of assets, subject to this policy.

7. Data retention

We retain information for as long as your account is active or as needed to provide the Service. You may delete content within the product or request deletion of your account and associated data by contacting us; we will delete or de-identify it within a reasonable period, except where retention is required by law, needed to resolve disputes, or contained in routine backups that roll off on a fixed schedule.

8. Security

We use industry-standard safeguards, including encryption in transit, access controls, and secrets management. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your rights and choices

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing. You can exercise these rights by emailing support@maelolabs.com. You can also disconnect integrations at any time from the product, which stops further collection from that integration. We will not discriminate against you for exercising your rights.

10. International transfers

We are based in the United States and process information on servers located in the United States. If you use the Service from outside the US, you understand your information will be transferred to and processed in the US.

11. Children

The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we will notify you by email or through the Service before the changes take effect. The effective date above reflects the latest revision.
